Overview

The Onboarding Specialist is a critical role that has a high-impact contribution to the People department in supporting designated VPNE/Aloha locations in hiring and onboarding new team members. As a member of the Talent Acquisition Team, which encompasses the activities involved in building and maintaining a dynamic, fun and successful workforce, the Onboarding Specialist will ensure compliance with new hire paperwork for VPNE/Aloha as well as any other requirements including occupational health necessities. This role will largely be focused on support services and parking operations in the healthcare sector of our Aloha Solutions Company and is a hybrid position with an office based in downtown Boston.

 

Responsibilities

  1. Onboarding
  1. Collects new hire paperwork including the I9, W4, and others from candidates and from hiring managers through our applicant tracking system (ATS) and email workflows.
  2. Reviews paperwork for typical errors and advises new hire and hiring manager on how to correct.
  3. Understands the various new hire task lists and marks tasks as complete in a timely manner to ensure a quick and efficient onboarding process.
  4. Enters data accurately into background check partners and escalates results when appropriate.
  5. Creates new hire profiles in the learning management system (LMS) and tracks completion of new hire training therein.
  6. Manages Occupational Health Requirements as necessary and required by each site.

  1. Accurately translates new hire data from the ATS into our human capital management (HCM) system.
  2. Coordinates with Payroll Supervisor and Compensation and Benefits Manager so that every new hire is paid on time.
  1. Record Keeping
  1. Works comfortably across our HR software suite, tracking the new hire from the application through screening, training, and into the HCM system.
  2. Researches new hire and candidate history upon request.
  3. Accurately enters data in all systems.

Qualifications

Years of Experience: At least 1+ years of professional work experience preferably in a recruiting supervisory capacity.

Language Skills: Proficient in English both verbally and written

Preferred Education Requirements: Bachelor’s or Associate’s Degree in related field or applicable experience.

 

 

Requirements:

  • Strong aptitude for learning software, experience with iCIMS and DayForce a plus
  • Ability to organize and prioritize tasks
  • Must be proactive, positive, and responsive with a genuine interest in the People function
  • Great organizational and communication skills
  • Impeccable guest service skills with a proven track record in problem-solving
  • Ability to work both independently and on a team
  • Ability to multitask and work under pressure
